Vortex Yoga – Terms and Conditions
​1. General Information
​These Terms and Conditions ('Terms') outline the agreement between Vortex Yoga Ltd ('Vortex', 'we', 'us', 'our') and the client ('you', 'your'). By purchasing a class, membership, or attending any class, workshop, event or retreat, you agree to comply with these Terms.

2. Class Options and Payments​
All payments must be made online through the booking system. No on-site payments are accepted.
• Drop-in classes: One-off purchase, no expiry date.
• Class passes: Valid until their stated expiration date; unused credits will not be refunded or extended.
• Monthly rolling membership: Can be cancelled at any time. No refunds will be issued for the current paid month.
• Annual membership: No refunds for cancelled memberships.
• Memberships are based on the studio being open a minimum of 45 weeks per year.
3. Introductory Offers​
£5.55 First Class Offer – Terms:
• Offer available to new customers only.
• Vortex may change or deactivate the offer at any time.
• Limited to one purchase per customer.
• Cannot be combined with other promotions or discounts.
• Offer is non-refundable and cannot be resold or transferred.
• No refunds are offered for missed classes.

‘Try it for a Month’ Offer (£88) – Terms:
• Valid for one calendar month from the date of purchase.
• Available to new customers only.
• Vortex may change or deactivate the offer at any time.
• Limited to one purchase per customer.
• Cannot be combined with other promotions or discounts.
• Offer is non-refundable, non-transferable, and cannot be extended.
• No refunds are offered for missed classes.

4. Booking and Cancellation Policy
• You may book up until the start of class if spaces are available.
• Cancellations made more than 4 hours before the class will return your class credit for reuse.
• No refunds are offered for missed classes.
• Cancellations made within 4 hours of the class or no-shows will result in loss of credit with no refund. If you've missed the 4 hour cancellation window, please email Emma, emma@vortexyoga.co.uk to cancel so the space can be released to anyone waiting.
• If the studio cancels a class, you will receive a full refund or class credit.
• Travel disruptions do not qualify for refunds.
• Repeated late cancellations or no-shows may result in membership suspension or termination.
• Instructor substitutions do not qualify for refunds or credits.

5. Medical and Liability Waiver
By purchasing a class pass, membership, or attending a class, event, or retreat, you acknowledge and agree that you are participating voluntarily and take full responsibility for your own health, wellbeing, and belongings.
By registering with Vortex, you agree that:
• You are participating voluntarily in yoga classes, courses, or workshops, understanding that yoga requires physical exertion that may cause injury.
• You are physically fit and have no condition that prevents your participation.
• You understand that yoga is not recommended during the first trimester of pregnancy, and you agree to inform your instructor of any pregnancy or changes to your medical condition prior to class.
• You may receive verbal or physical assists; you are responsible for notifying the instructor if you do not wish to receive physical adjustments.
• Vortex reserves the right to make changes to timetables, instructors, or facilities with minimal notice.
• You voluntarily waive any claim against Vortex for injury or damages sustained while participating.
• You release Vortex, its teachers, and representatives from all liability for injury or accident.
• You understand Vortex is not responsible for lost or damaged personal belongings.

6. Studio Etiquette
To maintain a respectful and safe environment, please follow these guidelines:
• Doors open 15 minutes before the start of class - doors lock at class start time. No late entry.
• Do not knock if the door is locked.
• Bring water and remove shoes at the door.
• Sign in with the teacher upon arrival.
• Inform the teacher of any injuries, medical conditions, or pregnancy before class.
• Find your mat and settle in, quiet conversation is encouraged as we share a sense of community.
• No changing or shower facilities are available on-site.

7. Workshops, Events, and Retreats
• Refunds issued only for cancellations more than 14 days before the event, minus a 10% admin fee.
• No refunds for cancellations within 14 days of the event.
• If unable to attend due to medical reasons, transfer or partial refund (minus 10% admin fee) may be considered upon receiving a doctor’s note before the event.
• If you wish to transfer your booking to another person, Vortex must be notified by email, email emma@vortexyoga.co.uk with the new participant’s full name and email address. The new participant will then receive an introductory email and must complete a signed liability waiver prior to attending. Transfers must be submitted at least 24 hours before the event. Vortex reserves the right to decline transfers submitted later than this deadline.
• If Vortex cancels the event, a full refund or transfer to another event of equal value will be offered.
• Travel or accommodation expenses are not refundable.
• Do not attend without written confirmation of your booking.

8. Cacao Ceremonies
Ceremonial Cacao is not recommended for individuals in the first trimester of pregnancy, those with serious heart conditions, blood pressure imbalances, epilepsy, or who are taking antidepressants / antipsychotic medication. If attending, you may attend without consuming cacao. Please inform the ceremony facilitator of any medical conditions, allergies, or health concerns prior to the session.

9. Sound Healing (Soundscape / Sound bath)
Sound healing uses vibrational instruments, including quartz and alchemy crystal bowls and percussion. These vibrations can create deep relaxation and physical, emotional, or energetic sensations.
Contraindications:
-Epilepsy or seizure conditions
-Pacemaker, heart conditions, or other cardiovascular issues
-Pregnancy (particularly the first trimester)
-Severe sound sensitivity or auditory conditions, including tinnitus
-Serious mental health conditions
-Any medical conditions affected by sound or vibration
If you are unsure whether sound healing is safe for you, please consult your healthcare provider before attending

10. Photo/Video Release
I give permission to Vortex Yoga to take photographs and/or video recordings of me using classes , workshops , or events. I understand these images may be used for:
• Studio website, social media, or promotional materials
• Educational or training purposes
I understand that:
• I will not receive compensation for the use of my image
• My participation in studio activities implies consent to this release unless otherwise specified.

11. Refusal of Entry
For the safety and well-being of all participants, Vortex reserves the right to refuse entry to anyone who appears to be under the influence of alcohol or any other substance. No refunds or credits will be offered in such cases

12. Privacy & Data
Your data is securely stored through Wix.com’s data storage and protected by firewalls. We collect necessary personal, booking, and payment information to manage services and communications. For full details, refer to our Privacy Policy.

By booking or attending any class, workshop, or event with Vortex Yoga, you acknowledge that you have read, understood, and agreed to these Terms and Conditions
